Administrative Assistant Reports to: Director of Operations Department: General Administration and Operations Job Summary: The Administrative Assistant at The Teller is responsible for assisting, coordinating, and implementing general operations, administrative and project-specific activities under the guidance of the Director of Operations. To ensure execution of The Teller mission, the position requires on-going communication and coordination to ensure productive support of The Teller staff and lead volunteers. Essential Functions: Screens incoming phone calls, mail and correspondence. Monitors reception area and responds to visitor inquiries. Assists with the maintenance and management of website, database, spreadsheets, office files and reports for official corporate records. Assists with assigned administrative tasks associated with fundraising and property management. Monitors, tracks and records public recreation inquires and provides administrative support for the public hunting and recreation program. Handles data entry of donor information, and donation documentation (donor tax letters). Keeps inventory of office supplies and purchases items/equipment as needed or requested. Assists with and arranges programs, special events and conferences in coordination with the Director of Operations and other staff. Assists with recruitment and coordination of Teller volunteers. Assists other staff with various clerical and administrative requests as needed.
Additional Responsibilities: Other responsibilities may include coordination of work study students, interns, seasonal employees, and volunteers that may be assigned to specific projects. May work with volunteers to develop volunteer opportunities, coordinate and/or supervise and assist with such efforts. Education and Experience: This position requires a minimum of a high school diploma or G.E.D. A college degree is desired, with experience in business, office management, education, or related studies. A minimum of three (3) years demonstrated experience in office administration, customer service, or program support is preferred. The ability to work as part of a team in a professional office environment is essential. Excellent oral and written communication skills are required. Must be physically capable of working outside in seasonal field conditions and must possess valid Montana driver's license. Experience in public relations, fundraising, and graphics/web design is desirable. Knowledge, Skills, Abilities: 1. Working knowledge of roles, processes and policies of non-profit organizations, state wildlife management agencies, federal wildlife and land management agencies and educational institutions. 2. Strong verbal and written communication skills. Attention to detail is required. 3. Team building skills and excellent customer service skills (both internal and external). 4. Thorough knowledge of basic office equipment to include: multi-line telephone systems, personal computer, copiers, scanners, and facsimile machines. 5. High level of skill with databases and Microsoft Office Suite (Outlook, Word, Excel, Access and PowerPoint). 6. Mathematical skills to calculate figures, amounts and budgets. Ability to interpret data. 7. Thorough understanding of basic office procedures related to communications and record-keeping protocols. 8. Ability to organize and prioritize multiple tasks and complete them within time constraints, working efficiently and accurately. 9. Ability to work independently, with minimal supervision. 10. General knowledge of wildlife conservation, hunting, fishing and outdoor recreation. 11. Develop a working knowledge of The Teller's mission, goals, organizational structure and activities and the ability to promote them. Develop a working knowledge of The Teller budgeting and project funding processes. Physical Demands: The incumbent will encounter both office and field conditions. Office work will require sitting or standing for long periods of time, frequent use of office equipment such as telephones, faxes and computers, and light lifting, bending and physical exertion.
